The latest meeting of the board was held on the fourteenth of June. We made a number of decisions. We decided to resurface courts 4, 5, and 6 and to repave the parking lot.
The major part of the meeting dealt with the roof and the problems we have had in the past with it. We decided to do a thorough job this time, and to do it right.
Besides repairing the leaks, we would like to address the problems with the skylights-It was suggested that we might install some windows on the sidewalls. Another suggestion was that some insulation be added to the roof, so that it may be possible to heat in the winter.
Please read the report of Ken Lefton, who is in charge of our roof committee. We are open to your ideas. The roofing and leak problem probably will not be fixed this year. The solution is a long term one. That will probably mean another winter of long underwear, but we do hope to make progress in the not too distant future.
Do not hesitate to communicate any ideas that you may have on the roofing issue or any other issue that you are concerned with. You will also note that the dues have been raised roughly 5%. Our dues have not been raised for three years now and due to inflation and the costs of maintenance of our facility, our own expenses have increased. The 5% increase in dues is, therefore, a modest one that we on the board felt we could tolerate.
We have given Colby Jager a one-year contract as assistant pro beginning July 1, 2010, and ending June 30, 2011; at which time the contracts of the manager, the pro, and the assistant pro will all be reviewed.
The treasurer gave his report concerning the finances of the club and at this point, our financial position seems to be solid. We continue to pay down the mortgage and we are able to maintain the facilities of the club.
We also have a first draft of a mission statement for the club. This indicates among other things that we are a member owned club and are trying to promote playing time for dues paying members as well as to promote tennis per se. The full statement can be found in the minutes.
As I mentioned earlier, we truly want your input. Talk to members of the board about your concerns and desires. I am always available to listen. I am easy to find, too. I usually play in the morning. I am a master of the frame shot and the net crawler. I still wear my converse shoes. My feeling is, if they were good enough for Maureen Connolly and Pancho Gonzalez they are good enough for me. They certainly are comfortable. I am easily identifiable. Let me know what you think.

Update from the (Leaking) Skylight Committee (Ken Lefton, John Wallin, & Jim Fisher)
The committee met with High Mountain Cedar, the roofing company who has made repairs for the last two years. In addition, we had a second roofing company, Gecko Construction, inspect the skylights over courts 1-3. We've identified a number of things that were done incorrectly by the original installer. Note that the company that installed the skylight panels in 2005 went out of business, so there is no financial recourse.
A little history: The initial (fiberglass) skylights were installed in 1983, and started leaking around 2000. The cost to replace the aging fiberglass panels in 2005 for courts 1-3 was 60k. The repairs performed by High Mountain Cedar in 2008 & 2009 cost roughly 5k each year.
The board voted to hire an architect (at a cost not to exceed 2k) with experience in commercial buildings and metal roofing to perform a study to advise over the many options we have going forward. The options to fix the leaks include continual repair, replacement, covering (removing skylights), or repositioning skylights to the end-walls of the buildings. The Skylight Committee will be meeting this month to develop a list of objectives for the architect to act on. The board will ratify this list before hiring the architect.
Given the potential cost for repairing the skylights and (likely) the financing needed, we will be asking the architect to also consider additional improvements, such as lighting and insulation, which were high interest issues according to the recent survey.
TTC Dues Raise and Budget
The TTC 2010/11 budget was passed at this past Board meeting and the Board voted
in a dues raise. TTC has held dues the same the past three years but costs and
projects have built up to the point where we needed to raise dues in order to
address some of the projects and expenses. The Board is looking at for the upcoming
year to resurface courts #4-6, reseal the parking lot in July and address the
skylight leaks, which could be a huge expense. We will keep you posted on the
skylight issue as we proceed.
Timberhill Birthday BBQ
Sunday July 11 starting at 4:00pm we will have our 38th annual birthday
BBQ at Timberhill. As usual we will have the world famous Roy Burnham's BBQ
chicken provided by Timberhill. We will have a potluck sign-up to bring appetizers,
salads, desserts and some bread to the BBQ. This is our biggest (and best food)
social event of the year. We usually have over 100 members and their families
coming to join in our celebration, so put this date on your calendar and look
for the sign-up sheets in the clubhouse. Tennis will be played on a casual basis
as there will be no organized tennis, just open courts to play with someone
you may not know. We will also be looking for volunteers to help set up, clean
up and take down tables, etc, so if you can give some help contact Gary at the
club or John Myers our social committee chair.
Fall USTA Senior and Super Senior Teams
Anyone interested in putting together a senior or super senior team the
deadline for getting a team registration form in is August 1. Gary has team
registration forms, so please contact Gary for more info on this fun Fall league.
If you are interested in playing talk to Gary and he can let you know who may
be captaining a team at your level or about captaining a new team.
Energy Trust Results
On June 9 we met with the Program Director of the Energy Trust to evaluate our
energy usage. She was very impressed with our T5 lighting, energy efficient
furnace, fluorescent light bulbs in most fixtures. She gave us great marks for
being very efficient. The one area that we found to be the biggest energy waste
was human leaving our lights on after playing. We estimated that Timberhill
loses about $150 per month on lights being left on. Please help us save energy
and money by turning out the lights after playing. Another area of waste is
having the court next to you on while playing. We brought out light meters and
there is the same amount of lumens up to the doubles side-line with or without
having the second court on. Once you went outside the playing area, (doubles
sideline) you did start to lose the light level if the second court did not
have its lights on. It is an illusion that you have better light when the court
next to you has the lights on.
Ball Machine & Guest Sign-ups
Please make sure that you sign up in the clubhouse sign up sheet when you use
the ball machine. We get lots of ball machine use without people signing up
for it, especially late at night when we do not have staff at the club. This
is a member owned club and everyone pays when you don't sign up for the ball
machine or sign in a guest.
Roofing Committee
Based on the feedback from the TTC survey the Board has formed a roofing committee
to look at different possibilities of getting a better handle on the roof skylight
leaks. The committee consists of Ken Lefton, Jim Fisher and John Wallin. We
will be meeting with the roofer to go over the options we have within our budget
and see if we can't come up with a good solution to this ongoing problem.
Junior Pre-tournament Camp
Gary will be having his annual Pre-Tournament camp for Challenger level junior
players. The camp will start Sunday July 11 at 1:30pm - 4:00pm and then Monday
and Tuesday June 12-13 9:30am - 12:00pm and then 1:30pm - 4:00pm with a lunch
provided those two days. That will be followed by the Pacific Western Junior
Challenger Tournament June 14-15. This is a great way to get ready for the tournament
and work on your game in a fun environment. Call Gary at the club for more info.
Board Opening
The Board of Directors has had another position come open. We are looking for
an interested TTC member to fill a six month term left on a Board position.
If you are interested please contact Heidi Igarashi or Gary at the club. You
would serve from August until December of this year.
Hunter's Ad
The summer is finally upon us (or is it spring?), the club is gearing up
for another huge summer--preparations for the annual Barbeque, summer junior
tournament series, and our ongoing classes and lessons are keeping your staff
busy. The spring season concluded with the 3.5 and 4.5 women's USTA teams, as
well as the 4.0 men's team reaching the regional playoff, and many NTRP divisions
of the Corvallis City Championships were won by members--way to go! As the teaching
staff moves into the summer schedule, remember the offerings we've got - Mixed
Doubles class on Monday nights, clinics on Tuesday morning and evening, Adult
drills on Thursday nights, and courtside conditioning. Our Thursday Night Men's
League has started too--if you want to get involved as a sub, we still have
a need for them--contact Hunter if you're interested. Stay hydrated, and have
a great summer on the courts!

Congratulations to the Women's 4.5 team (Pam Edinger captain) who qualified for the Pacific Northwest Sectional playoffs the middle of August by winning their regional playoffs June 12-13 in Salem. If they win that weekend they would qualify for Nationals in the Fall. Go team!!
We also had two teams qualify for regional championships but went down to defeat during the weekend: the Women's 3.5 team (captains Sarah McCarthy / Jessica Klein) and the Men's 4.0 team (captain Mark Koenig)
Congratulations to all 130 Timberhill players who played USTA League this past spring. It is a great league program and look for the senior and mixed leagues coming the end of summer and Fall.
